Privacy Policy

This Privacy Policy describes how Unifab Technologies Pte Ltd ("Unifab", "we", "us") collects, uses, and stores information through our internal Timesheet WhatsApp service (the "Service"). The Service is an internal tool for Unifab employees to submit monthly timesheets and is not a public-facing product.

Who this is for

The Service is for internal use only, by Unifab Technologies Pte Ltd employees submitting monthly timesheets. It is not used for marketing, advertising, or any purpose beyond internal payroll and timesheet record-keeping.

What we collect

• Your WhatsApp phone number, used to identify the sender.
• Your selected name from a fixed internal list of employees.
• The month selected for the timesheet period.
• A photo of your paper timesheet.
• Free-text notes, if you choose to add any.
• The timestamp of your submission.

How we use it

Submitted information is used to log timesheet submissions into an internal SharePoint-hosted spreadsheet and photo archive, for payroll and record-keeping purposes.

Where it's stored

Data is stored within Microsoft 365 / SharePoint, under Unifab Technologies' own Microsoft 365 tenant (unifabtech.onmicrosoft.com). Data is not stored by any third party beyond the infrastructure providers described below.

Third parties involved

The following third parties act only as data processors on our behalf — none of them buy, sell, or use your data for advertising:

• Meta / WhatsApp Business Platform— acts as the messaging transport. Messages pass through Meta's infrastructure under Meta's own WhatsApp Business Platform Terms & Privacy Policy.
• Microsoft— hosts the SharePoint site and spreadsheet where data is stored, under Unifab's own Microsoft 365 tenant and subscription.

No data is sold, shared with advertisers, or used for any purpose outside internal timesheet administration.

Retention

Timesheet submissions and photos are retained for as long as required for payroll and record-keeping purposes.

Security

Access to stored data is restricted to authorized Unifab personnel via Microsoft 365 permissions. The Service uses app-only (client-credentials) authentication, scoped narrowly to the relevant SharePoint site.

Your rights

Employees may contact Nithya@unifabtech.com to ask what data is held about them, or to request corrections or deletion.

Children's privacy

Not applicable — this is an internal employee tool, not used by the general public or minors.

Changes to this policy

We may update this policy from time to time. The effective date at the top of this page will reflect the date of the latest revision.
